HOW TO APPLY

Step 1

Prepare your documents

After making sure your visa type, applicants should prepare the documents according to related checklist. Once your documents are complete, you can come to the Visa Application Centres or authorize a relative or a friend to submit your documents. The authorized third party must also provide photocopy of his ID Card.

  • Applications should be submitted no earlier than 90 days ahead of your planned departure date (not including Family Reunion visa and Work visa). It is strongly recommended that the visa application must be submitted at least 15 days before the departure date (not including delivery time).
  • Incomplete visa applications will not be accepted by the Visa Application Centres. If applicants insist on submitting it is required to sign an Acknowledgement letter declaring awareness of the risk of Visa refusal. The Consulate General reserves the right to request further documents.
  • The Consulate and the Application Centres will not accept any document sent by courier directly to them. No responsibility is taken for documents sent via courier.
  • All minors must travel holding their own passport. All the registrations of minors on the parents’ passport are invalid. At the same time the parents’ passport with registration of the minor children will be considered valid only for the holder of the passport.

Step 2

Submit supporting documents

For Individual Applications:

Please follow the below steps at Visa Application Centre:

  • Pass through our security door where our staff will carry out a security check
  • Our staff at the entrance will ask your purpose and then issue a token number.
  • Enter in the waiting area and wait for your number to be called.
  • Deliver your passport and documents to Submission Officer for check according to the checklist.
  • Make payment at submission counter for visa fee and service fee

    During the pandemic period, our customers are strongly advised to settle all charges with the mobile payment solutions at our VACs (Alipay is applicable in both VACs in Guangzhou and Changsha, Wechat is applicable in Shenzhen VAC, and both payment options are available in Fuzhou VAC). Appreciate your understanding and cooperation!

    The Visa Application Centres are authorized by the Consulate to charge a service fee of 78RMB for each individual application.

    For children under 6 years old no service fee will be charged.

    For applicant above 60 years old will be charged 62RMB.

  • Waiting for biometric collection: applicant who is exempted for biometric collection can leave the premise.

    Please note:

  • As from 12 October 2015, all Schengen visa applicants are required to provide their biometric data (10 fingerprints and a photo) when applying for a Schengen visa. All applicants will have to apply in person when fingerprints have to be taken for the first time. Since biometric data information are stored for five years, in case of following visa applications it won’t be necessary to come again in person.

    Exemptions from the fingerprinting requirement: applicants for national visas, children under the age of twelve and person for whom the collection of fingerprints is physically impossible. Heads of State and members of the national government with members of their official delegation and spouses will also be exempted, if travelling for official purposes.

    In case applicants’ fingerprints cannot be taken, both or temporary and for permanent reasons, applicants shall in any case come in person at the Application Centers to prove it.

  • The officer will issue a receipt. You have to keep them with you for the collection of passport.

Submission time: 8:00 to 20:00 (Monday to Friday, except on declared holidays & closures), applicants who prefer to submit visa application during weekend please click here to take appointment in advance.

For any group which has five or more than five applications, please come to submit before 13:00. Applicants for Guangzhou Visa Application Centre please send email to groupcan.italycn@vfshelpline.com for appointment booking. Applicants for Changsha, Shenzhen and Fuzhou Visa Application Centre please send email to info.italychina@vfshelpline.com for appointment booking.

Applicants for Subordinate Employment visa and Family Reunion Visa please come to our Visa Application Centres to complete Nulla Osta registration at time 8:00 to 10:30 in the morning (Monday to Friday, except on declared holidays & closures). Or send email to info.italychina@vfshelpline.com for registration. Please mention in the email your contact number, which visa application centre you prefer to submit application and make sure to attach a scan copy of the Nulla Osta and a scan copy of your passport data page.

For ADS applications:

  • Appointment booking via email is mandatory for ADS applications (Calls are not acceptable). The appointments will be made on a first come first served basis. Please make appointment at least 7 days prior to the departure date (not including delivery time). Please click here for more information.

    For Guangzhou Visa Application Centre please send email to groupcan.italycn@vfshelpline.com for appointment booking (date and time for biometric enrollment).

    For Shenzhen Visa Application Centre please send email to groupsz.italycn@vfshelpline.com for appointment booking (date and time for biometric enrollment).

    For Changsha and Fuzhou Visa Application Centre please send email to related Centre email address for appointment booking (date and time for biometric enrollment).

  • ADS visa fee and service fee can be paid through mobile payment at the Visa Application Centers the day of applicants’ biometric data capture or the day before the collection by bank transfer to our bank account.

The Visa Application Centres are authorized by the Consulate to charge a service fee of 62RMB for each ADS application. For children under 6 years old no service fee will be charge.

Step 3

Case processing and passport collection

Your application documents will be handed over to the Consulate General of Italy in Guangzhou. Our Centres only has the right to collect your documents. We cannot make any decision on the release of visa.

According to Schengen Visa Code all decisions must be given within 15 calendar days, eventually extendible to 30 days (see art. 23). For national visas processing might require up to 90 days. Please note that the processing time is counted from the date the Consulate receives the application, not the date the application is submitted at the Visa Application Centre. Please note that for applications lodged at Guangzhou VAC the documents will be delivered to the Consulate in the morning of the next working day, while for applications lodged at satellite VACs transport of the application to and from the Consulate may take up to four working days.

The Consulate reserves the right to call applicants in for a personal interview at a later time. Likewise, the Consulate reserves the right to request additional documents.

When the Consulate has processed the visa application, the applicant’s passport will be sent back to the Italian Visa Application Centres with the Consulate’s decision in a sealed envelope.
