HOW TO APPLY

Step 1 :

Prepare your documents

Prepare your documents in agreement with the category of visa you want to apply for.

Please note:

Applicants are warmly invited to prepare all the documents of the check-list when they submit their visa application. The incomplete submission of the documents could cause a longer processing time and, consequently, some delay in visa issuance.

The photo on the visa form should be of ICAO format (4X3.5cm), with white background and should be not more than 6 months old

The passport should contain at least two consecutive totally blank pages.

  • Passports issued more than 10 years ago cannot be accepted
  • All minors must travel holding their own passport, so all the registrations of minors on the parents’ passport are invalidated. At the same time the parents’ passport with registration of the minor children will be considered valid only for the holder of the passport until the regular expiration
  • Schengen Travel Insurance must be submitted. Please click here to buy insurance.

Step 2 :

Submit supporting documents and your passport

For Individual Visas:

Before applying, please make sure that you are clear about your purpose of visit. Do remember that the visa application center is allowed to assist and help you through the entire visa application process but is not permitted to advise or guide you on choosing a visa category. Our work is primarily administrative and we have no saying in the decision making process.

Once your documents are complete, you can come to the Application Center or authorize a relative or a friend to submit your documents, from Monday to Friday (excluding National Holidays) from 8:00 to 15:00, without scheduling any appointment

Please Note:

The Consulate and the Application center will not accept any document sent by courier directly to them. If the applicant does happen to send the documents to the Consulate or the Center directly, then no responsibility is taken for their receipt.

Once you reach the center, please follow the below steps:

When you enter the Application center, our security guard will issue you a token number.

Please wait in the waiting area for your number to be called to one of our counter

Deliver your passport and the documents to the Submission Officer for the check against the checklist

In case the documents are complete, in agreement with the Consulate requests, the officer will issue a receipt including the visa fee and the service fee you have to pay in cash at the counter. You have to keep the receipt with you for the collection of the passport when your visa is ready.

Please note:

The Visa Application Centers are authorized by the Consulate to receive a service fee of 180RMB for each applicant.

The payment has to be done in cash at the Submission Counter and the applicant is recommended to check the change for the fees from the cashier.

Step 3 :

Biometrics Collection:

After the payment the Visa Application Centers staff will collect applicant’s fingerprints in case of short term visa types at the same counter where the submission of the documents were done

The staff will verify applicant’s identity against the passport and verify the picture

Picture will be uploaded in the system and the applicant requested to press his fingers against the machine

Once fingerprints have been collected and the quality verified, the applicant can leave the center

Please note:
  • Biometrics collection is mandatory only for applicants requesting a short term (less than 90 days of stay in Schengen territories) Schengen visa
  • From the 12 October 2015 applicants submitting their documents will be requested to come in person at the Visa Applications Center
  • Biometrics data will be kept in the VIS (Visa Information System) for 5 years, so after the first time, applicants going to any other Schengen country for short term (maximum of 90 days of stay) and whose fingerprints were collected from the 12 October 2015 by any Schengen country will not be requested to show up in person
  • Children who, at the date of submission of the documents , have not reached the age of 12 years will be exempted from the biometric process
  • Applicants with impossibility to register their fingerprints for physical reason should in any case come to the Application Center

Step 4 :

Case processing times and case handling

The processing time of a Schengen visa depends on each individual case. Applications for Schengen visas can be submitted at the earliest 90 days before the planned travel date.

The regular processing time is 5 working days Please note:

From the 1 July 2014 the Embassy of Italy in Beijing and the Italian Consulates General in Shanghai and Guangzhou will issue visas in 36 hours.

Visa types to be issued in 36 hours are: individual tourism visa and business visa and the 36 hours will be calculated starting from passport entrance at the Embassy/Consulate.

Step 5 :

Application results and return of passport

When the Consulate has processed the visa application, the applicant’s passport will be sent back to the Italy Visa Application Centers with the Consulate decision in a sealed envelope.

Please note:

In case the visa is refused by the Italian Consulate, according to the Consulate rules, the applicant must come in person to collect his own passport from Consulate or from Visa Application Centers. It is not possible to use agencies or third parts to collect it.

  • The Italy Visa Application Center will return all passports to the Italian Consulate if they are not collected within 3 months after processing. The Italy Visa Application Center is not responsible for the applicants’ passport once it has been sent back to the Consulate.
